The organisation

New Zealand's largest nationwide provider of home, work & community support & care services.

They serves over 30,000 people and employs over 12,000 caregiving, nursing, and other health professional staff.

The coordinator team have to problem solve and manage the shifts and health worker schedules, resolving issues to ensure people receive the care they need.

The challenges

Current state

Using a very clunky system, it is prone to error and confusion.

Time consuming, manual processes.

Discovery

Goals

Understand the end-to-end lifecycle of a care worker shift. How they are assigned, complete and what hurdles are encountered by all users involved.

Methods

I personally facilitated:
—11 stakeholder discovery workshops
—20 co-creation sessions
—2 un-moderated user questionnaires

Findings & Insights

  1. Healthcare workers get last minute offers for shifts via phone calls

  2. Coordinators spend most of their time on the phone putting out fires

  3. Hours of wasted times matching the two

Validation

—1 user survey to gain current state feature usage data before spending time on redesign using Typeform
—5 wireframe tests for care worker persona using LookBack
—5 hi-fi moderated digital tests for care worker persona using LookBack
—8 presentations/feedback sessions for coordinator persona

So, how did it go?

So, how did it go?

So, how did it go?

Reduced coordinator time 136 hours per week, saving $216k per year.

Couldn’t be better for our agency. We were asked by the client to return for a similar solution for their 10,000+ internal staff.

Saved 3 weeks of dev time from my project efficiency recommendations; enough for gain time for user testing and an extra design iteration, not to mention saving the client relationship.

I completed this project using the new design system and proved its worth as we produced a similar app, in a quarter of the time and expense for a whole new set of users with their own business rules.

Accepting a new shift that just came in. Only comes through to staff that are free at the time of the shift, and match capabilities and preferences of care clients.

A care worker filling out a timesheet at the end of a shift, and getting signed off by their supervisor. This replaces a completely paper process which will help avoid costly errors and delays.

A visual demo of the micro-animations for the different shift slots. Indicating the differentiation between the shift time slots - a necessity as care workers are signing up to shifts, often tired, at the end of a long shift, in the middle of the night so the clearer the better.
